Key Responsibilities
- Manage and maintain executive calendars, schedule appointments, and coordinate meetings, including preparing agendas, minutes, and necessary materials.
- Prepare and edit correspondence, reports, presentations, and other documents with impeccable accuracy and attention to detail.
- Organize and maintain physical and electronic filing systems, ensuring efficient retrieval and secure storage of information.
- Serve as a primary point of contact for internal and external stakeholders, handling inquiries and directing calls or messages appropriately and professionally.
- Coordinate travel arrangements and accommodations for executives and staff, managing itineraries and expense reports.
- Assist with special projects, conduct research, and provide administrative support for company events and initiatives as assigned.
- Process invoices, track expenses, and meticulously maintain office supply inventory to ensure smooth operations.
Required Skills
- Minimum of 3 years of progressive administrative support experience in a dynamic office environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office equipment.
- Exceptional organizational and time management skills with the proven ability to prioritize tasks, manage multiple deadlines, and work under pressure.
- Strong written and verbal communication skills, with a professional and articulate demeanor.
- Demonstrated ability to maintain confidentiality, exercise sound judgment, and exhibit discretion.
- High level of accuracy and meticulous attention to detail in all tasks.
- Ability to work both independently with minimal supervision and collaboratively as a valuable team member.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration, Office Management, or a related field.
- Experience working in the food service, distribution, or logistics industry.
- Familiarity with various office management software, CRM systems, or database management.
- Project coordination or event planning experience.
- Fluency in Hawaiian or Japanese is a plus, reflecting our cultural heritage.
