Key Responsibilities
- Plan, coordinate, and execute a diverse range of local events and activations from conception through completion, adhering strictly to established budgets and timelines.
- Source, negotiate with, and manage vendors, caterers, venues, and other service providers to ensure high-quality delivery and cost-efficiency.
- Develop comprehensive event plans, including detailed timelines, budget forecasts, staffing needs, and logistical arrangements.
- Collaborate seamlessly with internal marketing, PR, and creative teams to ensure consistent branding and messaging across all event touchpoints.
- Oversee on-site event setup, meticulous management, and efficient tear-down, troubleshooting any issues swiftly and effectively.
- Manage event registration processes, curate guest lists, and handle all attendee communications with professionalism and clarity.
- Conduct thorough post-event evaluations, gather valuable feedback, and prepare comprehensive reports on event performance, outcomes, and areas for continuous improvement.
- Ensure all events comply with stringent safety regulations, company policies, and strict brand guidelines.
- Maintain strong, positive relationships with community partners, key stakeholders, and various internal teams.
- Manage and maintain accurate inventory of event-related supplies, equipment, and promotional materials.
Required Skills
- Proven experience (3+ years) in event planning and coordination, preferably within the entertainment, hospitality, or marketing sectors.
- Exceptional organizational and project management skills with a keen eye for detail and the ability to multitask effectively.
- Strong verbal and written communication abilities, capable of engaging diverse audiences and crafting compelling narratives.
- Proficiency in event management software and Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work independently and collaboratively in a fast-paced, dynamic, and often high-pressure environment.
- Demonstrated ability to manage budgets, negotiate contracts, and achieve cost efficiencies without compromising quality.
- Flexibility to work evenings, weekends, and holidays as required by event schedules.

Preferred Qualifications
- Bachelor’s degree in Marketing, Communications, Hospitality Management, or a related field.

- Knowledge of local venues and an established network of vendor contacts in the Minnesota area.
- Certification in Event Management (e.g., CMP – Certified Meeting Professional).
- Experience with digital event platforms and virtual event production.
