Job Description
We are seeking a highly organised, proactive, and self-motivated Virtual Office Manager to join our dynamic and growing team. This is a crucial remote administrative role designed to provide seamless operational support to our leadership, project teams, and overall business functions. Key Responsibilities
- Manage complex calendars, scheduling meetings, appointments, and travel arrangements for leadership and key personnel.
- Organise, maintain, and update digital filing systems, ensuring efficient retrieval, accessibility, and compliance with data governance.
- Act as a primary point of contact for internal and external communications, filtering, directing, and responding to inquiries as appropriate.
- Prepare, proofread, and edit correspondence, reports, presentations, and other critical documents with accuracy and professionalism.
- Coordinate virtual team meetings, including preparing agendas, taking comprehensive minutes, and following up on action items.
- Assist with the onboarding process for new remote employees, preparing necessary documentation, system access, and introductory materials.
- Provide administrative support to project teams, which may include tracking deadlines, organising resources, and compiling project-related reports.
- Research and procure essential office supplies, software subscriptions, and services as needed, ensuring cost-effectiveness and timely delivery to remote staff.
- Manage and disseminate company-wide communications, announcements, and internal newsletters to ensure all team members are informed.
- Implement and continuously improve efficient administrative procedures and systems to support seamless remote operations and enhance productivity.
Required Skills
- Minimum of 3 years of progressive experience in an administrative, office management, or virtual assistant role.
- Exceptional organisational and time management skills, with a proven ability to prioritise effectively and manage multiple tasks in a remote setting.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides, Gmail, Calendar).
