Key Responsibilities
- Provide high-level administrative and secretarial support to senior executives, including managing complex calendars, scheduling appointments, and coordinating intricate domestic and international travel arrangements.
- Prepare, proofread, and meticulously format confidential documents, comprehensive reports, compelling presentations, and professional correspondence with exceptional accuracy and an acute attention to detail.
- Organize and expertly coordinate internal and external meetings, which includes preparing detailed agendas, accurately taking and transcribing minutes, distributing necessary materials, and diligently ensuring timely follow-up on all action items.
- Handle all incoming and outgoing communications, including managing phone calls, emails, and physical mail, efficiently directing inquiries appropriately and drafting professional responses as needed.
- Maintain an impeccably organized filing system (both physical and digital) for all important documents, ensuring easy retrieval and strict adherence to all confidentiality protocols.
- Manage office supplies inventory, place orders proactively, and ensure the general upkeep, cleanliness, and professional appearance of the executive office area.
- Assist with special projects, conduct thorough research tasks, and support event planning initiatives as required by the executives, consistently demonstrating flexibility, initiative, and a problem-solving approach.
- Process expense reports, invoices, and other financial documentation in a timely, accurate, and compliant manner.
Required Skills
- Proven experience (minimum of 4 years) as an Executive Secretary, Administrative Assistant, or a similar high-level administrative role.
- Exceptional proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software.
- Outstanding written and verbal communication skills in English, with the ability to articulate clearly and concisely.
- Superior organizational and time management abilities, coupled with a keen eye for detail and accuracy.
- High degree of professionalism, discretion, and an unwavering ability to handle confidential and sensitive information.
- Strong interpersonal skills and the ability to interact effectively and diplomatically with diverse internal and external stakeholders.

Preferred Qualifications

- Previous experience working within the real estate, property management, or a professional services industry.
- Familiarity with modern office management systems, CRM software, and established administrative procedures.
- Proficiency in using various virtual meeting platforms (e.g., Zoom, Microsoft Teams, Google Meet).
- Certification in Secretarial Studies or Office Administration from a recognized institution.
