Job Description
We are seeking a highly organised and dedicated Secretary – Administrative Support professional to join our team in Beni, North Kivu Province. In this crucial role, you will be the backbone of our administrative operations, ensuring smooth day-to-day functioning and providing essential support to our project teams. You will manage correspondence, maintain accurate records, assist with scheduling, and facilitate efficient communication within the office and with external stakeholders. Key Responsibilities
- Manage and maintain office supplies, ensuring adequate stock levels and ordering new supplies as needed.
- Handle all incoming and outgoing correspondence, including emails, letters, and packages, ensuring timely distribution and response.
- Organise and schedule meetings, appointments, and travel arrangements for staff, preparing necessary documents and logistical support.
- Maintain an efficient and confidential filing system for all administrative documents, both physical and digital.
- Assist in the preparation of reports, presentations, and other documents, ensuring accuracy and adherence to MSF guidelines.
- Provide general administrative support to various departments and project teams, including data entry and documentation.
- Act as a primary point of contact for internal and external queries, redirecting as appropriate and providing basic information.
- Ensure the office environment is organised, clean, and conducive to productive work.
- Translate official documents and communications from French to English and vice versa as required.
Required Skills
- Proven experience as a Secretary or Administrative Assistant (minimum 3 years).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills in French and English.
- Strong organisational and time management abilities with attention to detail.
- Ability to work independently and as part of a multicultural team in a fast-paced environment.
- High level of discretion and confidentiality.
- Problem-solving skills and a proactive approach to tasks.
Preferred Qualifications
- A diploma or degree in Office Administration, Secretarial Studies, or a related field.
- Previous experience working with a non-profit organisation or in a humanitarian context.
- Familiarity with local administrative procedures and cultural nuances in North Kivu.
- Knowledge of Swahili is a significant asset.
