Job Description

We are seeking a highly organised and dedicated Secretary – Administrative Support professional to join our team in Beni, North Kivu Province. Key Responsibilities

  • Manage and maintain office supplies, ensuring adequate stock levels and ordering new supplies as needed.
  • Handle all incoming and outgoing correspondence, including emails, letters, and packages, ensuring timely distribution and response.
  • Organise and schedule meetings, appointments, and travel arrangements for staff, preparing necessary documents and logistical support.
  • Maintain an efficient and confidential filing system for all administrative documents, both physical and digital.
  • Assist in the preparation of reports, presentations, and other documents, ensuring accuracy and adherence to MSF guidelines.
  • Provide general administrative support to various departments and project teams, including data entry and documentation.
  • Act as a primary point of contact for internal and external queries, redirecting as appropriate and providing basic information.
  • Ensure the office environment is organised, clean, and conducive to productive work.
  • Translate official documents and communications from French to English and vice versa as required.

Required Skills

  • Proven experience as a Secretary or Administrative Assistant (minimum 3 years).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills in French and English.
  • Strong organisational and time management abilities with attention to detail.
  • Ability to work independently and as part of a multicultural team in a fast-paced environment.
  • High level of discretion and confidentiality.
  • Problem-solving skills and a proactive approach to tasks.

Preferred Qualifications

  • A diploma or degree in Office Administration, Secretarial Studies, or a related field.
  • Previous experience working with a non-profit organisation or in a humanitarian context.
  • Familiarity with local administrative procedures and cultural nuances in North Kivu.
  • Knowledge of Swahili is a significant asset.
