Job Description

Zayo Group is seeking a dedicated Remote Administrative Officer to join our expanding remote operations team. In this pivotal role, you will be instrumental in ensuring the smooth and efficient administrative functioning of our remote team members and departmental processes. This position requires a self-starter who excels at managing multiple priorities, possesses strong communication skills, and is adept at utilizing various digital tools and platforms to maintain productivity and collaboration across distances. As a Remote Administrative Officer, you will be the backbone for critical administrative tasks, supporting everything from scheduling and document management to coordinating virtual meetings and facilitating seamless communication. You will work closely with various departments, providing essential support that enables our teams to focus on their core objectives. Key Responsibilities
- Manage and maintain complex digital calendars, scheduling meetings, appointments, and virtual events for multiple team members and leaders.
- Prepare and distribute communications, memos, reports, and presentations using various software applications.
- Organize and maintain digital filing systems, ensuring efficient retrieval of documents and data, adhering to company data retention policies.
- Coordinate and facilitate virtual meetings, including setting up conference technology, preparing agendas, taking minutes, and tracking action items.
- Assist with remote onboarding processes for new team members, including preparing necessary documentation, IT access requests, and orientation schedules.
- Process and track expenses, invoices, and purchase requisitions in compliance with company policies and budgetary guidelines.
- Serve as a primary point of contact for internal and external inquiries, directing them to the appropriate individuals or departments with professionalism.
- Proactively identify and implement administrative process improvements to enhance efficiency and productivity for the remote team.
- Support special projects and initiatives as assigned, requiring independent judgment, meticulous follow-through, and collaborative problem-solving.
- Maintain strict confidentiality of sensitive information, employee data, and company proprietary documents at all times.
Required Skills
- Minimum of 3 years of experience in an administrative support role, preferably in a remote or hybrid environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Exceptional organizational skills with a strong ability to multitask, prioritize, and manage time effectively in a fast-paced setting.
