Job Description
We are seeking a highly organized, proactive, and passionate Record Label Coordinator to join our Office Team in San Francisco. This pivotal role provides comprehensive administrative and operational support to our West Coast label operations, ensuring the smooth day-to-day functioning of our office and contributing directly to artist and label success. As a Record Label Coordinator, you will be the backbone of our local team, managing office logistics, supporting various projects across A&R, marketing, and distribution, and acting as a key point of contact for internal and external stakeholders. Key Responsibilities
- Manage general office administration, including supplies, vendor relations, mail distribution, and maintaining a professional and organized workspace.
- Provide administrative support to the West Coast team, including scheduling meetings, preparing presentations, and assisting with travel arrangements.
- Assist in the coordination and tracking of various label projects, including release schedules, marketing campaigns, and content delivery.
- Act as a primary point of contact for artists, managers, and external partners, directing inquiries and facilitating communication.
- Process invoices, expense reports, and other financial documentation in coordination with the finance department.
- Maintain and update internal databases, contact lists, and artist rosters with accurate information.
- Support the planning and execution of local artist showcases, industry events, and team meetings.
- Assist with onboarding new team members and ensuring a welcoming environment.
- Undertake research projects related to market trends, artist analytics, and competitive landscapes to support strategic initiatives.
- Handle confidential information with discretion and professionalism.
Required Skills
- Minimum of 2 years of administrative or coordinator experience, preferably within the music, entertainment, or creative industries.
- Exceptional organizational skills and a meticulous attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Strong verbal and written communication skills, with the ability to interact professionally with diverse stakeholders.
- Demonstrated ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
- Proactive problem-solver with a strong sense of initiative.
- A genuine passion for music and a foundational understanding of the independent music landscape.
- Ability to work both independently and collaboratively within a team setting.
