Key Responsibilities

  • Warmly greet and welcome all clients, visitors, and vendors with professionalism and courtesy, directing them to the appropriate department or individual.
  • Manage incoming telephone calls, screening and directing them efficiently to the correct contact person, and taking accurate messages when necessary.
  • Maintain a tidy, organized, and professional reception area at all times, ensuring it reflects the bank's high standards of presentation and cleanliness.
  • Handle incoming and outgoing mail, packages, and deliveries, ensuring proper logging, distribution to recipients, and timely dispatch.
  • Provide general administrative and clerical support to various departments, including data entry, filing, scanning, photocopying, and document preparation.
  • Assist with scheduling appointments, managing meeting room bookings, and coordinating logistical details for internal and external meetings.
  • Monitor and manage office supplies inventory, placing orders as needed to ensure continuous availability and cost-effective management.
  • Respond to general inquiries from clients and visitors, providing accurate basic information about TMB Bank's services and directing complex inquiries to relevant specialists.
  • Ensure strict compliance with all bank policies and procedures, especially regarding security protocols, data protection, and client confidentiality.
  • Collaborate effectively with various departments and team members to ensure seamless operational flow and a supportive work environment.

Required Skills

  • Proven experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills in French and Lingala.
  • Strong organizational and multitasking abilities with attention to detail.
  • Exceptional customer service orientation and interpersonal skills.
  • Ability to be resourceful and proactive when issues arise.
  • Professional attitude and appearance.

Preferred Qualifications

  • A diploma or degree in Business Administration, Office Management, or a related field.
  • Previous experience working in the banking or financial services industry.
  • Familiarity with office equipment (e.g., fax machines, printers, scanners).
  • Knowledge of an additional local language (e.g., Swahili, Tshiluba).
