Job Description
We are seeking a warm, organized, and professional Receptionist – Office Desk to be the welcoming face and voice of our Hawaii Community Federal Credit Union branch in Downtown Hilo. This vital full-time position is often the first point of contact for our valued members and visitors, setting the tone for their experience with our institution. As our Receptionist, you will be responsible for providing exceptional front-desk support, managing incoming communications, and ensuring the smooth flow of daily office operations. You will play a crucial role in creating a positive and efficient environment for both our members and our dedicated team. This includes answering a multi-line phone system, greeting visitors with aloha, directing inquiries to the appropriate departments, managing mail, scheduling appointments, and maintaining a tidy and professional reception area. You will also provide administrative assistance to various departments as needed, contributing to the overall productivity and success of our branch. The ideal candidate will possess a proactive attitude, excellent communication skills, a meticulous eye for detail, and a genuine desire to deliver outstanding service in a fast-paced credit union environment. Key Responsibilities
- Greet and welcome members and visitors warmly and professionally, directing them to the appropriate personnel or services.
- Operate a multi-line telephone system, answering incoming calls, screening, and transferring to relevant departments or individuals.
- Manage incoming and outgoing mail, packages, and deliveries, ensuring timely distribution and dispatch.
- Maintain the cleanliness, organization, and professional appearance of the reception area and common spaces.
- Schedule and confirm appointments for credit union staff and member services.
- Provide general administrative and clerical support, including data entry, filing, scanning, and photocopying.
- Assist with office supplies inventory, ordering, and distribution as needed.
- Handle member inquiries and provide basic information about credit union services or direct them to specialized staff.
- Assist in preparing meeting rooms and ensure they are tidy after use.
- Adhere to all credit union policies, procedures, and security protocols.
- Collaborate effectively with all departments to ensure seamless operations and member satisfaction.
Required Skills
- Proven experience in a reception, administrative, or customer service role.
- Exceptional verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities with attention to detail.
- Professional demeanor and a positive, 'can-do' attitude.
- Ability to work effectively both independently and as part of a team.
- High school diploma or equivalent.
Preferred Qualifications
- Associate's degree in business administration or a related field.
