Coldwell Banker M.M. Parrish Realtors is seeking a highly organized, friendly, and professional Receptionist to be the welcoming face and voice of our bustling Gainesville office. As our Front Office Desk Receptionist, you will be the hub of our office activity, managing a dynamic environment where no two days are exactly alike. You will handle inquiries with grace and efficiency, direct communications to the appropriate departments, and maintain an organized and inviting reception area. Your ability to multitask, prioritize, and maintain composure under pressure will be essential in supporting our fast-paced real estate operations. Key Responsibilities
- Warmly greet and welcome clients, visitors, and vendors as they arrive at the office, ensuring a positive first impression.
- Answer and direct incoming calls professionally and efficiently, managing a multi-line phone system.
- Manage the reception area, keeping it tidy, organized, and stocked with necessary materials.
- Sort and distribute incoming mail, packages, and deliveries; prepare outgoing mail and shipments.
- Schedule and coordinate appointments, meetings, and conference room bookings.
- Provide administrative support to real estate agents and staff, including data entry, filing, scanning, and document preparation.
- Assist with the maintenance of office supplies inventory, placing orders as needed.
- Process basic incoming paperwork and ensure its proper routing.
- Handle client inquiries, providing accurate information or directing them to the appropriate contact.
- Maintain confidentiality of sensitive information and uphold professional office decorum.
- Assist with various ad-hoc projects and tasks as assigned by management.
Required Skills
- Proven experience (1+ year) as a Receptionist, Front Office Representative, or similar administrative role.
- Excellent verbal and written communication skills with a professional and friendly demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and time management skills with the ability to multitask and prioritize effectively.
- Exceptional customer service skills and a client-focused attitude.
- Ability to operate standard office equipment (printers, scanners, phone systems).
- High level of attention to detail and accuracy.
