Key Responsibilities

  • Warmly greet and welcome all visitors, clients, and candidates with professionalism and a friendly demeanor.
  • Manage a multi-line phone system, directing calls efficiently, taking messages accurately, and providing general information.
  • Maintain the reception area, ensuring it remains tidy, presentable, and well-stocked with necessary materials.
  • Assist with incoming and outgoing mail, packages, and deliveries, ensuring proper distribution and dispatch.
  • Coordinate and schedule meeting rooms, ensuring they are prepared and cleaned before and after use.
  • Provide administrative support to various departments, including data entry, filing, scanning, and preparing documents.
  • Manage office supplies inventory, placing orders as needed and ensuring supplies are readily available.
  • Assist with event coordination and special projects as assigned by management.
  • Uphold office security protocols by monitoring visitor access and issuing visitor badges.
  • Handle sensitive information with discretion and maintain strict confidentiality.

Required Skills

  • Minimum of 1 year of professional front desk or administrative assistant experience.
  • Exceptional verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and multitasking abilities with excellent attention to detail.
  • Professional demeanor and a positive, customer-service-oriented attitude.
  • Ability to work independently and as part of a team in a dynamic environment.
  • High school diploma or equivalent.
