Key Responsibilities

  • Coordinate and schedule project meetings, workshops, and communication sessions for remote teams, managing various time zones.
  • Prepare and distribute project documentation, including meeting minutes, progress reports, project plans, and status updates.
  • Maintain and update project schedules, tracking deadlines and deliverables using project management software.
  • Facilitate effective communication channels between remote team members, stakeholders, and clients.
  • Assist Project Managers in monitoring project progress, identifying potential risks, and escalating issues as necessary.
  • Manage and organise shared digital workspaces and collaboration platforms (e.g., Microsoft Teams, SharePoint, Jira).
  • Provide administrative support to project teams, including expense tracking, resource allocation assistance, and onboarding/offboarding tasks.
  • Support the creation and refinement of project processes and best practices for remote work environments.
  • Ensure compliance with company standards and project methodologies (e.g., Agile, Waterfall) within the remote team context.
  • Act as a point of contact for routine project inquiries and information dissemination.

Required Skills

  • Minimum 2-3 years of proven experience in a Project Coordinator or similar administrative/support role.
  • Exceptional organisational and time management skills with a keen eye for detail.
  • Strong written and verbal communication skills, essential for a remote team environment.
  • Proficiency in project management software (e.g., Jira, Asana, Trello, Microsoft Project).
  • Experience with collaboration and communication tools (e.g., Microsoft Teams, Slack, Zoom).
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace.
  • Ability to work independently, prioritize tasks, and manage multiple projects simultaneously.
