The Project Coordinator – Planning, Documentation will play a pivotal role in ensuring that project activities are meticulously planned, thoroughly documented, and efficiently tracked from inception to completion. You will work closely with Project Managers, team leads, and cross-functional teams, acting as a central hub for information flow and operational consistency. Your expertise in developing comprehensive project plans, maintaining accurate records, and streamlining communication will be instrumental in keeping our projects on schedule and within scope. You will be responsible for creating, organizing, and maintaining all project-related documentation, including project charters, schedules, status reports, risk logs, and communication plans. Key Responsibilities

  • Collaborate with Project Managers to develop and maintain detailed project plans, including scope, objectives, timelines, milestones, and resource allocation.
  • Prepare, organize, and manage all project documentation, including project charters, business requirements, functional specifications, status reports, meeting minutes, risk logs, and change requests.
  • Establish and implement efficient documentation control processes to ensure all project-related materials are accurately filed, accessible, and up-to-date in designated repositories.
  • Facilitate effective communication channels among project stakeholders, ensuring timely dissemination of information, updates, and deliverables.
  • Schedule and coordinate project meetings, prepare comprehensive agendas, and distribute materials in advance, meticulously capturing and tracking action items and decisions.
  • Monitor project progress against established plans, identifying potential deviations, risks, and dependencies, and assisting Project Managers in developing corrective actions.
  • Support the Project Management Office (PMO) in the development and refinement of project methodologies, templates, and best practices.
  • Assist in resource planning and allocation, tracking team availability and assignment to various project tasks.
  • Conduct research and gather data to support project analysis, reporting, and informed decision-making processes.
  • Ensure compliance with company standards, client requirements, and regulatory guidelines throughout the project lifecycle.

Required Skills

  • Proven experience (3+ years) in a Project Coordinator or similar role with a strong focus on planning and documentation.
  • Exceptional organizational skills and meticulous attention to detail in managing complex information.
  • Proficiency in project management software (e.g., Jira, Asana, Microsoft Project, Monday.com).
  • Strong command of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides).
  • Excellent written and verbal communication skills, with the ability to articulate complex information clearly and concisely to diverse audiences.
  • Demonstrated ability to manage multiple tasks, prioritize effectively, and meet deadlines in a dynamic, high-pressure environment.
  • Problem-solving aptitude and a proactive approach to identifying and addressing challenges.
  • Ability to work both independently and collaboratively within a fast-paced, team-oriented setting.
  • Strong analytical skills for data gathering and reporting.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Project Management, Information Technology, or a related field.
  • Certification in Project Management (e.g., CAPM, PMP, Scrum Master) or willingness to pursue.
  • Experience working in a Business Process Outsourcing (BPO) environment or a similar fast-paced, client-focused industry.
  • Familiarity with Agile methodologies and frameworks.
  • Experience with document management systems and knowledge repositories.
