In this pivotal full-time role, you will be instrumental in ensuring the smooth execution of various corporate initiatives, from administrative support to critical project coordination. You will serve as the organizational anchor for multiple projects, managing complex schedules, meticulously preparing and distributing documentation, and facilitating seamless communication across various departments and stakeholders. Key Responsibilities

  • Provide comprehensive administrative and coordination support to corporate project teams and managers.
  • Manage and maintain project documentation, including reports, schedules, budgets, and communication logs, ensuring accuracy and accessibility.
  • Coordinate and schedule meetings, prepare agendas, record minutes, and follow up on action items to ensure timely completion.
  • Track project progress against established timelines, identifying potential roadblocks and proactively communicating updates to stakeholders.
  • Assist in the preparation of presentations, proposals, and other project-related materials using various software applications.
  • Facilitate internal and external communication, serving as a primary point of contact for project inquiries.
  • Process invoices, expense reports, and other financial documentation related to project activities, ensuring compliance with company policies.
  • Order and maintain office supplies and equipment for the corporate team as needed.
  • Support the onboarding of new team members by assisting with necessary administrative setup.
  • Perform general administrative duties as required to support the smooth operation of the corporate team.

Required Skills

  • Minimum of 3 years of experience in a project administration or executive administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.
  • Excellent organizational and time management skills with the ability to prioritize multiple tasks effectively.
  • Strong written and verbal communication skills, with keen attention to detail and accuracy.
  • Demonstrated ability to work independently and as part of a collaborative team.
  • Proven problem-solving capabilities and a proactive approach to anticipating needs.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Project Management, or a related field.
  • Familiarity with project management software (e.g., SharePoint, Smartsheet, Jira).
  • Experience in the residential construction, real estate, or corporate development industry.
  • Certification in project management (e.g., CAPM) is a plus.
