Key Responsibilities

  • Coordinate project activities, resources, equipment, and information, ensuring all elements align with program objectives.
  • Break down complex projects into manageable actions and set realistic timeframes for execution.
  • Liaise effectively with internal teams and external stakeholders to identify and clearly define project requirements, scope, and overall objectives.
  • Proactively monitor and track the progress of ongoing programs and projects, addressing any issues or deviations promptly.
  • Act as the primary point of contact, communicating project status updates, potential risks, and successes to all participants and management.
  • Utilize project management tools to meticulously monitor working hours, resource allocation, expenditure, and overall adherence to plans.
  • Assist in the preparation of project proposals, comprehensive timeframes, detailed schedules, and accurate budget forecasts.
  • Ensure that the needs and expectations of all stakeholders are consistently met as projects evolve and adapt.
  • Oversee the issuance of all appropriate legal paperwork, including contracts and terms of agreement, ensuring compliance.
  • Create and maintain comprehensive program and project documentation, including plans, reports, and change logs.
  • Schedule and organize important meetings, accurately record minutes, and diligently follow up on all assigned action items.
  • Contribute to quality assurance efforts, ensuring that all program deliverables meet established standards and requirements.

Required Skills

  • Proven work experience of at least 3 years as a Program Coordinator, Project Administrator, or similar administrative support role.
  • Solid organizational skills, including the ability to multitask, prioritize, and manage time effectively in a dynamic environment.
  • Strong working knowledge and proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Excellent written and verbal communication skills in English, capable of clear and concise articulation.
  • Ability to work both independently with minimal supervision and collaboratively as a valued member of a team.
  • Strong problem-solving aptitude, with the capacity to identify issues and propose effective solutions.
  • Exceptional attention to detail and accuracy in all tasks and documentation.

Preferred Qualifications

  • Bachelor’s degree in Business Administration, Project Management, or a closely related field.
  • Familiarity with modern project management software (e.g., Jira, Asana, Trello, Monday.com).
  • Proficiency in German or French is considered a strong asset, given our global operations.
  • Experience within the Human Resources, staffing, or consulting industry.
  • Certification in Project Management (e.g., CAPM, PMP, Prince2) is a plus.
