Job Description

We are seeking an experienced and highly motivated Procurement Officer to join our dynamic team at Secrets Wild Orchid Montego Bay. This pivotal role is responsible for the strategic sourcing, negotiation, and purchasing of goods and services essential to the operation of our luxury resort. The Procurement Officer will play a critical role in optimizing our supply chain, ensuring the timely acquisition of high-quality products (from fresh produce and gourmet food items to linens, amenities, and operational supplies) at competitive prices, while adhering to company policies and sustainability goals. You will manage vendor relationships, negotiate contracts, analyze market trends, and implement efficient purchasing strategies to support our commitment to an Unlimited-Luxury® experience for our guests. This role requires a keen eye for detail, strong analytical capabilities, excellent negotiation skills, and a solid understanding of supply chain best practices within the hospitality sector. The ideal candidate will be a proactive problem-solver, adept at navigating complex purchasing scenarios, and dedicated to contributing to the resort’s operational excellence and financial success.

Key Responsibilities

  • Execute end-to-end procurement processes, including requisitions, purchase orders, and invoice reconciliation.
  • Source and identify new suppliers, conduct vendor evaluations, and manage ongoing vendor relationships to ensure reliability, quality, and competitive pricing.
  • Negotiate terms, conditions, and pricing with suppliers to secure the best value for the resort.
  • Monitor inventory levels and collaborate with relevant departments (e.g., F&B, Housekeeping, Engineering) to forecast needs and ensure optimal stock levels.
  • Analyze market trends, identify opportunities for cost savings, and implement strategic purchasing initiatives.
  • Ensure all procurement activities comply with company policies, ethical standards, and local regulations.
  • Prepare and present regular reports on purchasing activities, cost savings, and supplier performance.
  • Oversee the contracting process for goods and services, ensuring favorable terms and conditions.
  • Drive sustainability initiatives within the supply chain, prioritizing environmentally friendly and locally sourced products where feasible.
  • Resolve any supply chain issues, such as delivery discrepancies, quality concerns, or vendor disputes.

Required Skills

  • Proven experience in procurement or supply chain management, preferably within the hospitality industry.
  • Strong negotiation and vendor management skills.
  • Excellent analytical and problem-solving abilities.
  • Proficiency in procurement software and ERP systems (e.g., SAP, Oracle, BirchStreet).
  • Exceptional communication and interpersonal skills, both written and verbal.
  • Ability to manage multiple priorities and work effectively under pressure.
  • High level of integrity and ethical conduct.
  • Understanding of import/export procedures and customs regulations for Jamaica.

Preferred Qualifications

  • Bachelor's degree in Supply Chain Management, Business Administration, Logistics, or a related field.
  • Professional certification in Procurement (e.g., CIPS, CSCP).
  • Experience with a luxury resort or hotel brand.
  • Knowledge of local Jamaican supplier markets and products.
  • Fluency in additional languages (e.g., Spanish).
