Job Description

As a Procurement Assistant – Supply/Office at Wabac Solutions Limited, you will play a pivotal role in ensuring the seamless flow of materials, equipment, and general office supplies essential for our operations and project execution. Key Responsibilities

  • Assist in the preparation and processing of purchase orders and requisitions in accordance with company policies and procedures.
  • Source and evaluate potential suppliers, ensuring they meet quality, cost, and delivery requirements.
  • Maintain accurate records of purchases, pricing, and other important data within the procurement system.
  • Track orders and ensure timely delivery of supplies and equipment, proactively addressing any delays.
  • Communicate effectively with suppliers regarding product specifications, delivery schedules, and payment terms.
  • Conduct market research to identify new products and suppliers, and stay updated on market trends and pricing.
  • Assist in negotiating favorable terms and conditions with vendors to optimize cost-effectiveness and secure best value.
  • Collaborate with internal departments (e.g., project teams, finance, administration) to understand their procurement needs and provide support.
  • Resolve supplier discrepancies, delivery issues, and payment problems in a timely and professional manner.
  • Manage inventory levels for office supplies and consumables, ensuring adequate stock is maintained without excess.
  • Prepare comprehensive reports on purchasing activities, expenditures, and identified cost savings opportunities.
  • Ensure strict compliance with all relevant procurement regulations, company guidelines, and ethical purchasing standards.

Required Skills

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) for data analysis and communication.
  • Strong analytical and problem-solving skills, with an ability to identify and resolve issues efficiently.
  • Excellent verbal and written communication skills, capable of clear and concise interactions.

Preferred Qualifications

  • Bachelor's degree or Higher National Diploma (HND) in Business Administration, Supply Chain Management, Logistics, Purchasing & Supply, or a related field.
  • Membership or actively working towards certification with a recognized professional body (e.g., CIPS – Chartered Institute of Procurement & Supply).
  • Experience with Enterprise Resource Planning (ERP) systems, particularly procurement modules (e.g., SAP, Oracle, Sage).
  • Proven experience in vendor relationship management and basic negotiation techniques.
  • Familiarity with local suppliers and market dynamics in Port Harcourt and wider Nigeria.
