Key Responsibilities

  • Assist in the preparation and processing of purchase orders and requisitions, ensuring accuracy and compliance.
  • Maintain accurate and up-to-date records of purchases, pricing, supplier information, and contracts.
  • Communicate effectively with suppliers regarding order status, deliveries, and discrepancies under supervision.
  • Support the negotiation of terms and conditions with vendors to secure favorable deals and ensure value for money.
  • Track and expedite orders to ensure timely delivery of goods and services, minimizing operational disruptions.
  • Conduct basic market research to identify potential suppliers, compare prices, quality, and delivery options.
  • Collaborate with internal departments to understand their procurement needs and ensure compliance with company policies and budgetary constraints.
  • Assist in resolving invoicing issues and discrepancies, liaising between suppliers and the finance department.
  • Prepare and generate comprehensive procurement reports and analyses as required by management.
  • Contribute to the continuous improvement of procurement processes and procedures to enhance efficiency and effectiveness.

Required Skills

  • Excellent organizational and time management skills, with the ability to prioritize tasks.
  • Strong verbal and written communication abilities in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for data management and correspondence.
  • High level of attention to detail and accuracy in all tasks.
  • Ability to work effectively both independently and as part of a diverse team.

  • Basic analytical skills for comparing data and identifying trends.

Preferred Qualifications

  • A diploma or degree in Business Administration, Supply Chain Management, Logistics, or a related field.
  • Proficiency in Portuguese (written and spoken) is highly advantageous for local communication.
  • Previous internship or volunteer experience in an administrative or office support role.
  • Familiarity with Enterprise Resource Planning (ERP) systems (e.g., SAP) is a plus.
  • Understanding of basic procurement principles and practices.
