Job Description

We are seeking a highly diligent, detail-oriented, and reliable Photocopy Machine Operator to join our administrative support team at our Etagbor office in Calabar. In this essential and dynamic role, you will be the cornerstone of our internal document reproduction and management services, ensuring the efficient, accurate, and timely duplication and processing of critical company documents. You will be entrusted with the comprehensive management of all aspects within our modern document center. This includes everything from executing routine copying and scanning tasks to performing minor machine troubleshooting and diligently maintaining an optimal inventory of supplies. Key Responsibilities

  • Operate and maintain a variety of high-volume photocopy, scanning, printing, and binding equipment with exceptional precision and efficiency.
  • Perform routine checks, cleaning, and preventative maintenance on machines to ensure optimal performance, extend equipment lifespan, and minimize downtime.
  • Accurately troubleshoot and resolve minor technical issues with machinery; promptly escalate complex problems to appropriate technical support personnel.
  • Prepare, organize, and format diverse documents for copying, scanning, and binding, ensuring correct machine settings and superior output quality.
  • Ensure all copied, scanned, and printed documents rigorously adhere to established company standards for quality, accuracy, format, and confidentiality.
  • Maintain an organized, clean, and efficient document center, including the proper storage and retrieval of paper, toner, binding materials, and finished documents.
  • Monitor and proactively manage inventory levels of all consumables (e.g., paper, toner cartridges, binding covers) and place timely orders to prevent shortages.
  • Assist colleagues across various departments with document preparation, formatting, collation, and final assembly as required.
  • Adhere strictly to all company data protection, privacy, and confidentiality policies when handling sensitive or proprietary company information.
  • Maintain accurate and detailed records of all jobs completed, supplies utilized, and machine service logs for reporting purposes.
  • Provide excellent internal customer service, responding to all document requests promptly, professionally, and courteously.
  • Stay updated with best practices, new technologies, and evolving standards in document management, reproduction, and machine operation.

Required Skills

  • Proven experience operating various types of high-volume photocopy, scanning, and printing machines.
  • Exceptional attention to detail and a high degree of accuracy in document reproduction and handling.
  • Basic computer literacy, including familiarity with file management and scanning software.
  • Strong organizational skills and effective time management to handle multiple tasks and meet deadlines.
  • Ability to perform basic machine troubleshooting and routine preventative maintenance.
  • Physical stamina to stand for extended periods, as well as lift and move heavy boxes of paper and supplies (up to 20kg).
  • Unwavering commitment to confidentiality and data security.
  • Effective written and verbal communication skills for interacting with colleagues and management.

Preferred Qualifications

  • Secondary School Certificate (SSCE) or equivalent.
  • At least 6 months of direct experience in a similar role within a corporate, educational, or dedicated document center environment.
  • Familiarity with various paper types, sizes, weights, and binding techniques (e.g., spiral, comb, saddle stitch).
  • Basic knowledge of document management software or systems is an added advantage.
  • A proactive attitude, strong work ethic, and the ability to work effectively both independently and as part of a team.
