Job Description

We are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive administrative and executive support to a key senior leader within our organization. This is a pivotal full-time role based in our vibrant Oslo office, requiring an individual who thrives in a fast-paced corporate environment and can manage a diverse range of tasks with exceptional efficiency and attention to detail. Key Responsibilities

  • Manage complex calendars, scheduling meetings, appointments, and travel itineraries (domestic and international).
  • Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
  • Draft, review, and proofread correspondence, presentations, and reports.
  • Handle all aspects of travel arrangements, including flights, accommodation, ground transportation, and visa applications.
  • Process expense reports and manage petty cash or corporate credit card reconciliations.
  • Act as a primary point of contact, screening calls and emails, and directing inquiries appropriately.
  • Maintain highly confidential information and sensitive documents with discretion and integrity.
  • Assist with planning and execution of internal events, workshops, or team-building activities.
  • Provide general administrative support, including filing, archiving, and office supply management.
  • Conduct research and compile information as required for various projects and presentations.

Required Skills

  • Minimum 3 years of experience as a Personal Assistant or Executive Assistant to senior management.
  • Exceptional organizational and time management skills with the ability to prioritize effectively.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong written and verbal communication skills in both English and Norwegian.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • Proactive and self-motivated with a high degree of initiative.
  • Excellent interpersonal skills and a professional demeanor.
  • Ability to work independently and as part of a team.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience working within the financial services industry or a large corporate environment.
  • Familiarity with digital collaboration tools and virtual meeting platforms (e.g., Microsoft Teams, Zoom).
