Job Description

Rawbank is seeking a highly skilled Personal Assistant to provide comprehensive and confidential support to one of our esteemed Directors. As a Personal Assistant – Director Support, you will be the cornerstone of operational efficiency for the Director, ensuring seamless day-to-day operations and enabling them to focus on strategic initiatives. Key Responsibilities

  • Manage and maintain the Director's complex calendar, including scheduling meetings, appointments, and conferences, ensuring timely reminders.
  • Coordinate extensive domestic and international travel arrangements, including flights, accommodation, visas, and ground transportation.
  • Act as the primary point of contact, screening calls, emails, and visitors, and redirecting inquiries as appropriate.
  • Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and professional presentation.
  • Organize and coordinate internal and external meetings, including preparing agendas, distributing materials, taking minutes, and following up on action items.
  • Handle sensitive and confidential information with discretion and integrity.
  • Process expense reports, manage invoices, and maintain accurate financial records for the Director's office.
  • Conduct research, compile data, and prepare summaries or reports as requested.
  • Liaise with internal departments and external stakeholders on behalf of the Director.
  • Proactively identify and address potential issues or conflicts, offering solutions and prioritizing tasks effectively.
  • Assist with personal tasks and errands for the Director as needed, adhering to strict confidentiality.

Required Skills

  • Minimum 4 years of proven experience as a Personal Assistant, Executive Assistant, or similar role supporting senior management.
  • Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills in English and French (mandatory).
  • High level of discretion and ability to handle confidential information with integrity.
  • Strong interpersonal skills with a professional and approachable demeanor.
  • Proactive attitude with strong problem-solving abilities and attention to detail.
  • Ability to work independently with minimal supervision and as part of a team.
  • Demonstrated ability to anticipate needs and act resourcefully.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
  • Experience working within the banking or financial services industry.
  • Proficiency in Lingala or Swahili is a plus.
  • Familiarity with various scheduling and project management tools.
