Job Description
We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to join our dynamic team in Richmond Hill, Ontario. Key Responsibilities
- Provide high-level administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements for senior staff.
- Prepare and edit correspondence, communications, presentations, and other documents with accuracy and professionalism.
- Organize and maintain filing systems, both electronic and physical, ensuring data integrity and easy retrieval.
- Process invoices, expense reports, and other financial documents in compliance with company policies.
- Act as a primary point of contact for internal and external inquiries, directing calls and visitors appropriately.
- Assist with planning and executing company events, meetings, and conferences.
- Manage office supplies inventory and place orders as needed to ensure smooth operations.
- Handle confidential information with discretion and maintain a high level of professionalism.
- Support special projects and initiatives as assigned by management, contributing to team goals.
- Facilitate effective communication channels within the department and across different teams.
Required Skills
- Minimum 2 years of experience in an administrative support role, preferably in a corporate environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills in English.
- Demonstrated ability to maintain confidentiality and exercise discretion.
- High level of attention to detail and accuracy.
- Ability to work independently and as part of a team in a fast-paced environment.
Preferred Qualifications
- Post-secondary education in Business Administration or a related field.
