Job Description
The Finance Department at Bayhealth is seeking a meticulous and dedicated Payroll Clerk to join our dynamic team in Silver Lake, Dover. This critical full-time role is essential for ensuring the accurate and timely processing of payroll for our diverse workforce, which includes clinical staff, administrative professionals, and support teams across our various facilities. As a Payroll Clerk, you will be instrumental in the smooth operation of our financial systems, directly impacting employee satisfaction and compliance with all federal, state, and local regulations. You will be responsible for a wide array of payroll-related tasks, from inputting hours and reviewing timesheets to calculating deductions, verifying employee data, and assisting with year-end reporting. This position requires an individual with exceptional attention to detail, a strong understanding of payroll principles, and a steadfast commitment to maintaining confidentiality regarding sensitive employee information. You will collaborate closely with Human Resources and various department managers, serving as a key point of contact for employee payroll inquiries and resolving any discrepancies efficiently and accurately. Key Responsibilities
- Process bi-weekly payroll for all employees, ensuring accuracy and timeliness.
- Verify timesheet data, hours worked, and leave requests for proper compensation.
- Calculate and process payroll deductions, including taxes, benefits, garnishments, and 401(k) contributions.
- Maintain accurate payroll records and employee files, ensuring confidentiality and compliance.
- Respond to employee inquiries regarding pay, deductions, and related matters in a professional and timely manner.
- Prepare and reconcile payroll reports, including tax filings (W-2s, 941s) and other regulatory submissions.
- Assist with month-end and year-end close activities related to payroll.
- Collaborate with Human Resources and other departments to resolve payroll discrepancies and issues.
- Stay informed about federal, state, and local payroll regulations and ensure compliance.
Required Skills
- Proven experience as a Payroll Clerk or in a similar financial role (2+ years).
- Strong understanding of payroll processes, procedures, and relevant legislation.
- Proficiency in payroll software (e.g., ADP, UKG, or similar HRIS/Payroll systems).
- Excellent data entry skills and attention to detail.
- Proficient in Microsoft Office Suite, especially Excel.
- Strong organizational and time management skills.
- Ability to maintain strict confidentiality.
- Excellent verbal and written communication skills.
Preferred Qualifications
- Associate’s degree in Accounting, Finance, or a related field.
- Experience with payroll processing in a healthcare environment.
- Familiarity with Bayhealth's specific HRIS/Payroll systems.
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
