Key Responsibilities

  • Perform accurate and timely data entry into various databases and systems, ensuring high levels of precision.
  • Organize, classify, and file physical and electronic documents according to established company procedures and regulatory requirements.
  • Maintain and update records consistently, ensuring all information is current, complete, and easily retrievable.
  • Conduct regular audits and verification of data to ensure accuracy and consistency, proactively identifying and correcting discrepancies.
  • Assist with the preparation, compilation, and formatting of reports, summaries, and presentations as required by management.
  • Manage the flow of incoming and outgoing mail, inter-office correspondence, and deliveries efficiently.
  • Ensure the confidentiality and security of all sensitive information, documents, and client data at all times.
  • Operate and maintain office equipment such as printers, scanners, photocopiers, and shredders.
  • Provide general administrative support to the department, including managing office supplies inventory and basic scheduling.
  • Adhere strictly to all company policies, procedures, and relevant regulatory guidelines governing data handling and record-keeping.

Required Skills

  • Proven experience with data entry and record management processes.
  • Excellent typing speed and accuracy (minimum 45 Words Per Minute).
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Exceptional attention to detail and a commitment to data accuracy.
  • Ability to maintain strict confidentiality and handle sensitive information with utmost discretion.
  • Good verbal and written communication skills for effective interaction.

Preferred Qualifications

  • Associate Degree or Diploma in Business Administration, Office Management, or a related field.
  • CXC/GCE O'Levels including English Language and Mathematics.
  • Previous experience working in a financial services or a similarly regulated environment.
  • Familiarity with electronic document management systems (DMS).
  • Experience with advanced Excel functions for data manipulation and analysis.
