Key Responsibilities
- Greet and welcome patients and visitors with a friendly and professional demeanor, ensuring a positive first impression.
- Answer incoming phone calls, address inquiries, route calls appropriately, and manage voicemails promptly.
- Schedule, confirm, and reschedule patient appointments efficiently, optimizing the dental professionals' schedules.
- Maintain and update patient records (both digital and physical) with accuracy and strict adherence to privacy regulations (HIPAA).
- Process patient intake forms, insurance claims, and billing statements, verifying eligibility and explaining financial options.
- Manage office correspondence, including emails, faxes, and mail, ensuring timely responses and accurate filing.
- Monitor and order office and dental supplies, ensuring adequate stock levels and cost-effective purchasing.
- Maintain the cleanliness and organization of the reception area and common office spaces.
- Assist with general administrative tasks, such as scanning, filing, photocopying, and data entry, to support overall office operations.
- Collaborate with the dental team to ensure seamless patient flow and address any administrative needs.
- Handle patient questions regarding appointments, billing, and general services with patience and clarity.
Required Skills
- High school diploma or GED equivalent
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational and time management abilities
- Meticulous attention to detail and accuracy
- Demonstrated customer service orientation and interpersonal skills
- Ability to multitask and prioritize in a fast-paced environment
- Basic computer literacy and ability to learn new software quickly
Preferred Qualifications
- Previous experience (1+ year) in a dental, medical, or administrative office setting
- Familiarity with dental practice management software (e.g., Dentrix, EagleSoft)
- Associate's degree in a related field
