Key Responsibilities

  • Manage incoming and outgoing communications, including phone calls, emails, and physical mail, directing inquiries to appropriate staff members.
  • Maintain organized digital and physical filing systems, ensuring documents are easily accessible and secure.
  • Schedule and coordinate appointments, meetings, and facility bookings for staff, instructors, and volunteers.
  • Provide administrative support for the planning and execution of art exhibits, workshops, and special events.
  • Order, receive, and manage office supplies and inventory, ensuring adequate stock levels.
  • Assist with basic financial tasks, such as processing invoices, donations, membership renewals, and preparing bank deposits.
  • Greet visitors, members, and artists with a friendly and professional demeanor, providing information and assistance as needed.
  • Prepare various documents, including reports, presentations, correspondence, and marketing materials.
  • Support marketing and outreach efforts by assisting with mailing campaigns, social media scheduling, and website updates.
  • Perform general clerical duties, including data entry, photocopying, scanning, and faxing.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
