Key Responsibilities
- Manage and maintain executive schedules, including arranging appointments, meetings, and travel itineraries.
- Organize and coordinate office operations and procedures to ensure organizational effectiveness and efficiency.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle incoming and outgoing communications, including mail, email, and phone calls, directing them appropriately.
- Maintain office supply inventory, placing orders and ensuring adequate stock levels.
- Assist in the preparation of regular reports, presentations, and data analysis.
- Serve as the primary point of contact for internal and external stakeholders regarding office-related matters.
- Manage office budgets, process invoices, and track expenses.
- Coordinate internal and external events, meetings, and conferences, including venue booking, catering, and logistics.
- Ensure compliance with company policies and administrative procedures.
- Support HR functions with onboarding new employees and maintaining personnel records.
- Undertake ad-hoc administrative projects as required to support the team and leadership.
Required Skills
- Proven experience as an Office Administrator, Administrative Assistant, or relevant administrative role.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Excellent written and verbal communication skills in both German and English.
- Strong organizational and planning skills with meticulous attention to detail.
- Ability to prioritize tasks and work under pressure to meet deadlines.
- Proactive attitude and ability to work independently as well as part of a team.
- Exceptional problem-solving abilities and a resource-oriented mindset.
