Job Description

Long Beach Opera is seeking a highly organized and detail-oriented Music Administrator to join our dynamic Production Office. This pivotal role supports the seamless execution of our ambitious performance season by managing all administrative aspects related to music. The Music Administrator will be the central point of contact for musicians, conductors, composers, and rights holders, ensuring that all musical elements of a production are meticulously planned and executed. You will be responsible for the comprehensive management of our music library, including acquisition, cataloging, and distribution of scores and parts. This role demands a proactive individual with excellent communication skills, capable of thriving in a fast-paced, creative environment where precision and adaptability are key. Key Responsibilities

  • Manage and maintain the physical and digital music library, including scores, parts, and reference materials, ensuring accurate cataloging and accessibility.
  • Coordinate and schedule rehearsals, music calls, orchestra fittings, and other music-related production meetings.
  • Facilitate communication and act as a liaison between the Artistic Director, conductors, musicians, composers, and the broader production team.
  • Assist with the preparation and distribution of artist contracts for musicians, soloists, and guest artists, ensuring adherence to union agreements and company policies.
  • Track and reconcile music-related expenses, maintaining accurate records for budget management and reporting.
  • Oversee the licensing and acquisition of performance rights for musical works, ensuring compliance with copyright laws.
  • Arrange travel, accommodation, and local logistics for guest artists and out-of-town musicians as needed.
  • Prepare and distribute all necessary production paperwork, including musician rosters, call sheets, and program inserts related to music.
  • Provide general administrative support to the Production Office, including data entry, filing, and correspondence.
  • Assist with archival efforts, documenting musical elements and production details for future reference.

Required Skills

  • Minimum of 3 years of administrative experience, preferably in an arts or production environment.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks simultaneously and prioritize effectively in a dynamic environment.
  • Strong interpersonal skills with the ability to work collaboratively within a team.
  • Demonstrated problem-solving abilities and a proactive work ethic.

Preferred Qualifications
