Job Description

Key Responsibilities

  • Manage and schedule patient appointments, procedures, and consultations, ensuring optimal calendar management for medical staff.
  • Greet patients and visitors warmly, assist with check-ins, and provide information with a professional and empathetic demeanor.
  • Maintain accurate and confidential patient medical records, including filing, updating, and retrieving information as required.
  • Handle incoming and outgoing correspondence, including emails, faxes, and mail, ensuring timely and appropriate distribution.
  • Prepare and process patient billing, insurance forms, and other administrative documents.
  • Answer and direct phone calls, taking messages, and providing information according to established protocols.
  • Coordinate referrals to other specialists or departments, ensuring all necessary documentation is completed.
  • Order and maintain office supplies, ensuring adequate stock levels for smooth operations and efficiency.
  • Assist with the preparation of reports, presentations, and other administrative tasks as assigned by medical staff or management.
  • Adhere strictly to all HIPAA regulations and maintain absolute patient confidentiality at all times.
  • Facilitate effective communication between patients, medical staff, and external partners to ensure seamless operations and patient satisfaction.

Required Skills

  • Minimum of 1 year of experience in an administrative or secretarial role, preferably in a healthcare setting.
  • Proficiency in medical terminology and understanding of healthcare administrative procedures.
  • Excellent written and verbal communication skills, with a professional and courteous telephone manner.
  • Strong organizational skills and meticulous attention to detail.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience with electronic health record (EHR) systems.
  • Ability to multitask and prioritize effectively in a fast-paced, high-volume healthcare environment.
  • Exceptional interpersonal and customer service skills, with a patient-first attitude.
  • High school diploma or equivalent.

Preferred Qualifications

  • Associate’s degree in Medical Office Administration or a related field.
  • Certification as a Medical Administrative Assistant (CMAA) or similar professional certification.
  • Experience with specific EHR systems like Epic, Cerner, or Meditech.
