Key Responsibilities
- Provide high-level administrative support to executives and teams, including managing complex calendars, scheduling appointments, and coordinating travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and adherence to company standards.
- Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, and arranging necessary facilities and catering.
- Manage incoming calls, emails, and physical mail, directing inquiries to the appropriate personnel and responding professionally.
- Maintain office supplies inventory by checking stock, anticipating needs, placing and expediting orders, and verifying receipt.
- Assist with onboarding new employees, including preparing workstations and coordinating initial training schedules.
- Handle confidential information with discretion and maintain a high level of professionalism.
- Process expense reports, invoices, and other financial documents in a timely and accurate manner.
- Act as a liaison between departments, clients, and external stakeholders, fostering positive relationships.
- Assist with special projects and initiatives as needed, demonstrating flexibility and a willingness to take on new challenges.
Required Skills
- Minimum of 3 years of administrative assistant experience in a fast-paced corporate environment.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) at an advanced level.
- Exceptional organizational and time management skills with the ability to prioritize multiple tasks effectively.
