Job Description
We are urgently seeking a highly organized, detail-oriented, and experienced Legal Secretary to join our dynamic team in St. John’s. Key Responsibilities
- Prepare, proofread, and format legal documents, correspondence, pleadings, and briefs with exceptional accuracy and adherence to legal standards.
- Manage and organize physical and electronic client files, ensuring all documentation is current, accessible, and compliant with firm policies.
- Schedule appointments, meetings, depositions, and court dates, and manage complex calendars for assigned legal professionals.
- Handle incoming and outgoing communications, including mail, email, and phone calls, ensuring timely and professional responses.
- Assist with billing processes, time entry, expense reports, and other administrative tasks as required.
- Conduct basic legal research and gather relevant information and documents for case preparation.
- Maintain strict confidentiality of all client and firm information, upholding the highest ethical standards.
- Provide general administrative support to attorneys, including photocopying, scanning, and reception duties when necessary.
Required Skills
- Minimum 2 years of experience as a Legal Secretary or Legal Assistant.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent typing speed and accuracy.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Exceptional written and verbal communication skills.
- Demonstrated ability to work independently and as part of a team.
- High level of attention to detail and accuracy.
- Knowledge of legal terminology, procedures, and documentation.
Preferred Qualifications
- Completion of a Legal Assistant or Paralegal diploma/certificate program.
- Experience with legal practice management software (e.g., Clio, MyCase).
- Familiarity with various areas of law, such as corporate, litigation, or real estate.
- Proven track record of managing multiple tasks under tight deadlines.
- Ability to adapt to new technologies and legal practices.
