Key Responsibilities

  • Draft, review, and format legal documents, including pleadings, motions, agreements, and correspondence, ensuring accuracy and adherence to legal standards.
  • Manage attorney calendars, schedule meetings, depositions, court appearances, and conferences, coordinating logistics for all participants.
  • Organize and maintain electronic and physical case files, ensuring proper indexing, filing, and accessibility in compliance with firm policies.
  • Conduct preliminary legal research using online databases such as Westlaw and LexisNexis, summarizing findings for attorneys.
  • Prepare and process expense reports, invoices, and other administrative tasks with meticulous attention to detail.
  • Communicate professionally and effectively with clients, court personnel, opposing counsel, and internal team members.
  • Assist with trial preparation, including creating exhibits, witness binders, trial notebooks, and organizing discovery documents.
  • Coordinate travel arrangements and logistics for attorneys as needed, managing itineraries and bookings.
  • Proofread legal documents for grammar, spelling, punctuation, and factual accuracy before finalization.
  • Maintain strict confidentiality of all client and firm information, adhering to ethical guidelines and professional standards.
  • Provide administrative support to multiple attorneys efficiently and effectively, anticipating needs and proactively managing tasks.
  • Utilize document management systems and other legal software to enhance productivity and streamline workflows.

Required Skills

  • Minimum of 2 years of experience as a Legal Assistant or Paralegal in a law firm setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) at an advanced level.
  • Strong understanding of legal terminology, procedures, and ethical guidelines governing legal practice.
  • Excellent written and verbal communication skills, with a proven ability to draft professional correspondence and documents.
  • Exceptional organizational skills, attention to detail, and a commitment to accuracy.
  • Ability to work independently, manage multiple priorities, and meet deadlines consistently in a remote environment.
  • Familiarity with legal research platforms such as Westlaw or LexisNexis.

Preferred Qualifications

  • Associate's degree or Bachelor's degree in a related field (e.g., Legal Studies, Business Administration).
  • Paralegal certificate from an ABA-approved program.

  • Proficiency with document management systems (e.g., iManage, NetDocuments) or case management software.
  • Prior experience working successfully in a remote or hybrid work model.
  • Notary Public commission (or willingness to obtain one).
