Key Responsibilities
- Provide comprehensive administrative and logistical support to clinical staff, including scheduling appointments, coordinating meetings, and managing correspondence.
- Maintain accurate and confidential patient records, clinical data, and study documentation in compliance with regulatory standards (e.g., GCP, local health regulations).
- Prepare and organize study-related materials, including patient consent forms, case report forms, and study binders.
- Assist with data entry, data validation, and quality control processes to ensure data integrity and accuracy.
- Coordinate with internal departments and external stakeholders (e.g., laboratories, pharmacies) to ensure timely delivery of study-related services and supplies.
- Facilitate the collection and distribution of clinical samples and documentation, ensuring proper handling and storage.
- Ensure compliance with all applicable policies, procedures, and ethical guidelines governing clinical research.
- Provide support for patient recruitment and retention activities as needed.
- Assist in the preparation of reports, presentations, and other documents for clinical review meetings.
- Manage inventory of clinical supplies and equipment, ensuring adequate stock levels.
Required Skills
- Minimum of 1-2 years of experience in a clinical, healthcare, or research administrative support role.
- Strong organizational skills and exceptional attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks, prioritize effectively, and work under pressure.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- Understanding of clinical terminology and basic healthcare processes.
- High school diploma or equivalent.
Preferred Qualifications
- Post-secondary education in a healthcare-related field (e.g., Medical Office Assistant certificate, Health Information Management diploma).
- Familiarity with Good Clinical Practice (GCP) guidelines and health privacy regulations (e.g., PHIPA, FIPPA).
- Experience with Electronic Health Record (EHR) systems or Clinical Trial Management Systems (CTMS).
- Ability to work independently as well as collaboratively within a team environment.
