Key Responsibilities
- Provide comprehensive administrative support to Investment Advisors, including calendar management, travel arrangements, and expense reporting.
- Prepare and process client-related documentation accurately and efficiently, such as new account applications, transfers, and trade confirmations.
- Act as a primary point of contact for client inquiries, directing complex issues to the appropriate advisor or department.
- Maintain and update client databases and CRM systems with current and accurate information, ensuring data integrity and confidentiality.
- Assist with the preparation of client presentations, reports, and portfolio reviews, ensuring all materials are professional and error-free.
- Coordinate and schedule client meetings, including sending invitations, confirming attendance, and preparing meeting materials.
- Process trades and investment transactions under the direct supervision of licensed advisors, ensuring compliance with firm policies and regulatory requirements.
- Monitor and track client service requests, ensuring timely follow-up and resolution.
- Collaborate with internal departments (e.g., operations, compliance, technology) to streamline processes and resolve client issues.
- Stay informed about market trends, financial products, and regulatory changes relevant to the investment industry.
Required Skills
- Minimum of 2 years of administrative support experience, preferably within the financial services industry.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy in all tasks.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a collaborative team.
