Key Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate appointments for senior professionals and teams, including virtual and in-person engagements.
  • Arrange comprehensive domestic and international travel logistics, including flights, accommodation, and ground transportation, preparing detailed itineraries and ensuring adherence to travel policies.
  • Prepare and edit correspondence, presentations, reports, and other documents with meticulous attention to detail and accuracy, often under tight deadlines.
  • Process expense reports, invoices, and other financial documents, ensuring compliance with company policies and timely submissions.
  • Organize and maintain physical and electronic filing systems, ensuring efficient retrieval of information and data security.
  • Act as a primary point of contact, screening calls, responding to inquiries, and directing communications appropriately and professionally.
  • Coordinate office supplies and equipment, manage vendor relationships, and ensure a well-functioning workspace.
  • Assist with special projects and initiatives as needed, demonstrating flexibility and adaptability to evolving priorities.

Required Skills

  • Minimum of 3 years of administrative support experience in a corporate environment, preferably within financial services or a similar high-paced industry.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with CRM or project management software.
  • Exceptional organizational and time management skills with the ability to prioritize and manage multiple tasks simultaneously with precision.
