As our Front Office Assistant, you will be the first point of contact for our valued patients, both in person and over the phone. Key Responsibilities

  • Greet patients warmly upon arrival and manage check-ins and check-outs efficiently.
  • Schedule and confirm patient appointments, ensuring optimal use of clinical time and patient convenience.
  • Answer incoming calls, respond to enquiries, and direct calls to appropriate staff members.
  • Maintain and update patient records accurately and confidentially, both electronic and paper-based.
  • Process patient payments, manage billing inquiries, and handle insurance verifications.
  • Prepare patient forms and consent documents, ensuring all necessary paperwork is completed.
  • Manage the waiting area, ensuring it remains tidy and comfortable for patients.
  • Assist with general administrative tasks such as filing, scanning, photocopying, and mail handling.
  • Collaborate with dental hygienists, dentists, and other support staff to ensure seamless patient flow and communication.

Required Skills

  • Proven experience in a front office, reception, or administrative support role (preferably 1+ year).
  • Exceptional customer service and interpersonal communication skills.
  • Strong organisational abilities and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to multitask and manage time effectively in a busy environment.
  • A professional, friendly, and empathetic demeanour.
  • Discretion and a strong understanding of patient confidentiality.

Preferred Qualifications

  • Experience working in a dental practice or healthcare setting.
  • Familiarity with dental practice management software (e.g., Dentally, SOE).
  • Knowledge of dental terminology and procedures.
  • Relevant administrative or customer service qualifications.
