Key Responsibilities
- Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements.
- Act as a primary point of contact for internal and external communications, screening and prioritizing inquiries.
- Prepare, edit, and proofread correspondence, presentations, reports, and other documents.
- Organize and coordinate virtual and occasional in-person meetings, including agenda preparation, minute-taking, and follow-up on action items.
- Assist with project coordination, research tasks, and data compilation as required by executives.
- Handle confidential information with the utmost discretion and integrity.
- Streamline administrative processes and implement efficient workflow solutions.
- Manage expense reports and provide basic financial administrative support.
- Proactively anticipate executive needs and provide anticipatory support to ensure smooth operations.
- Maintain an organized digital filing system and document management.
Required Skills
- Proven experience as an Executive Assistant or Virtual Assistant supporting senior-level management.
- Exceptional organizational and time management skills with meticulous attention to detail.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Zoom, Microsoft Teams).
- Strong written and verbal communication skills, with the ability to articulate clearly and professionally.
