Key Responsibilities

  • Provide high-level administrative support, including managing complex executive calendars, scheduling meetings, and coordinating travel arrangements (local and international).
  • Prepare, proofread, and edit confidential correspondence, reports, presentations, and other vital documents with precision.
  • Serve as the primary point of contact for internal and external stakeholders, meticulously screening calls, emails, and managing visitors.
  • Organize and maintain comprehensive physical and electronic filing systems to ensure easy and secure retrieval of information.
  • Manage office supplies inventory, place orders efficiently, and ensure the office environment is consistently well-maintained, organized, and conducive to maximum productivity.
  • Coordinate and meticulously prepare for meetings, including arranging venues, distributing agendas, taking accurate minutes, and ensuring timely follow-up on action items.
  • Process invoices, expense reports, and other financial documents with accuracy and in a timely manner, adhering to company policies.
  • Assist with special projects, research tasks, and events as assigned by the executive team, demonstrating exceptional flexibility and adaptability.
  • Maintain the highest level of discretion and confidentiality regarding all sensitive information and company matters.
  • Act as a professional liaison between the executive office and other departments, fostering effective communication and seamless collaboration across the organization.

Required Skills

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is mandatory.
  • Exceptional written and verbal communication skills, with a strong command of English grammar and spelling.
  • Demonstrated strong organizational and time management abilities, coupled with meticulous attention to detail.
  • Proven ability to work independently, proactively prioritize tasks, and manage multiple projects simultaneously under pressure.
  • Verifiable experience handling confidential information with absolute discretion and unwavering integrity.
  • Excellent interpersonal skills and a professional demeanor when interacting with all levels of staff, clients, and external contacts.
  • Strong problem-solving skills and a proactive, resourceful approach to anticipating needs and resolving issues.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Office Management, or a related field.
  • Certification in Administrative Professional (CAP) or an equivalent professional administrative certification.
  • Familiarity with financial industry terminology, regulations, and best practices.
  • Experience with enterprise resource planning (ERP) systems or advanced document management software.
