Job Description
We are seeking a highly organised, proactive, and exceptionally discreet Executive Secretary to provide comprehensive administrative and secretarial support to our senior leadership team at DBS Bank. Key Responsibilities
- Manage and maintain complex calendars, including scheduling meetings, appointments, and travel arrangements for senior executives.
- Act as a primary point of contact, screening calls, emails, and visitors, and redirecting inquiries as appropriate.
- Prepare and format confidential documents, presentations, reports, and correspondence with precision and accuracy.
- Coordinate and organise internal and external meetings, including preparing agendas, taking minutes, and distributing materials.
- Process expense reports, invoices, and other financial documentation in compliance with company policies.
- Assist with special projects and initiatives as directed by senior management.
- Maintain an organised filing system (both physical and digital) for important documents.
- Handle confidential information with the highest level of discretion and integrity.
- Facilitate effective communication between executives, internal teams, and external partners.
- Proactively identify and address potential administrative challenges to ensure seamless operations.
Required Skills
- Minimum 3 years of experience as an Executive Secretary or Senior Administrative Assistant supporting C-suite executives.
- Exceptional proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Superior organisational and time management skills.
- Demonstrated ability to handle confidential information with discretion.
- Excellent written and verbal communication skills.
