Job Description

We are seeking an exceptionally organized, proactive, and discreet Executive Assistant to provide comprehensive, high-level administrative and strategic support directly to our CEO. This pivotal role requires someone who can anticipate needs, manage complex schedules, facilitate seamless communication, and handle sensitive information with the utmost confidentiality. Based at our busy Mapperley office, you will be the right hand to our CEO, ensuring their time is optimized and operations run smoothly, allowing them to focus on strategic growth and leadership initiatives. You will play a crucial role in managing the CEO’s calendar, coordinating internal and external meetings, preparing detailed reports and presentations, and acting as a primary point of contact for internal staff and external stakeholders.

Key Responsibilities

  • Manage and maintain the CEO’s complex calendar, including scheduling appointments, meetings, and travel arrangements.
  • Act as the primary point of contact and gatekeeper for the CEO, screening calls and emails, and redirecting as appropriate.
  • Prepare and edit correspondence, communications, presentations, and other documents for internal and external use.
  • Organise and coordinate executive meetings, including preparing agendas, distributing materials, recording minutes, and tracking action items.
  • Conduct research, compile data, and prepare reports and presentations as requested by the CEO.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • Assist with special projects and initiatives as assigned by the CEO.
  • Facilitate smooth communication between the CEO and internal teams, clients, and external partners.
  • Process expenses, invoices, and other financial documents on behalf of the CEO.
  • Anticipate the CEO’s needs and proactively address potential issues.

Required Skills

  • Proven experience as an Executive Assistant or in a similar role supporting senior management (minimum 5 years).
  • Exceptional organisational and time management skills with the ability to prioritise effectively.
  • Superior written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • High level of discretion and ability to handle confidential information with integrity.
  • Proactive problem-solver with strong decision-making capabilities.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Impeccable attention to detail.
  • Strong interpersonal skills and professional demeanor.

Preferred Qualifications

  • Experience working within the real estate or property sector.
  • A relevant higher education qualification or administrative certification.
  • Familiarity with CRM systems and other business software.
