Key Responsibilities
- Manage the full lifecycle of assigned events, from initial concept development and client brief through to post-event evaluation.
- Develop detailed event plans, including timelines, budgets, and resource allocation.
- Source, negotiate with, and manage vendors (venues, caterers, AV suppliers, transportation, etc.) to ensure best value and quality.
- Act as a primary point of contact for clients, providing regular updates and ensuring their vision is translated into successful execution.
- Coordinate all logistical elements, including registration, accommodation, travel arrangements, and on-site event flow.
- Manage event budgets, track expenses, and ensure financial targets are met.
- Oversee on-site event execution, including setup, live management, and teardown, ensuring smooth operations.
- Prepare comprehensive post-event reports, including performance analysis, client feedback, and recommendations for future improvements.
- Collaborate effectively with internal teams such as marketing, sales, and creative to ensure integrated event delivery.
- Ensure compliance with all relevant health, safety, and regulatory requirements for events.
Required Skills
- Minimum 2 years of professional experience in event management or a related field.
- Demonstrated ability to manage multiple projects concurrently and meet tight deadlines.
- Excellent organizational, planning, and time management skills.
- Strong negotiation and vendor management capabilities.
- Exceptional written and verbal communication skills in both German and English (C1/C2 level).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.
- Proven track record of successful client relationship management.
- Ability to work independently as well as collaboratively within a team.
- Strong problem-solving skills and a proactive approach to challenges.
- High level of attention to detail and accuracy.
Preferred Qualifications
- Bachelor's degree in Event Management, Marketing, Hospitality, or a related field.
