Key Responsibilities

  • Assist senior event planners with all aspects of event preparation and execution, including research, proposals, and client communication.
  • Coordinate event logistics, including room setup, audio-visual requirements, decor, and catering details, ensuring seamless operations.
  • Communicate effectively and proactively with clients, vendors, and internal hotel departments (e.g., culinary, front desk, housekeeping) to ensure smooth event flow.
  • Prepare comprehensive event documentation, such as proposals, contracts, banquet event orders (BEOs), and post-event reports.
  • Conduct post-event follow-up, including gathering client feedback, processing invoices, and performing administrative tasks.
  • Maintain organized records and databases for all event-related information, ensuring accuracy and accessibility.
  • Provide on-site support during events to address any immediate needs, troubleshoot issues, and ensure client satisfaction.
  • Support with administrative duties such as answering phones, responding to emails, and managing calendars for the events team.

Required Skills

  • Exceptional organizational and time management abilities with a keen eye for detail.
  • Strong verbal and written communication skills, with a professional and friendly demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Experience with scheduling and coordinating multiple moving parts.
  • Ability to work flexible hours, including evenings, weekends, and holidays, as required by event schedules.
