Job Description

Are you a highly organized, detail-oriented, and passionate individual with a flair for creating unforgettable events? Presken Hotel @ Iyana Ipaja is seeking an enthusiastic and experienced Event Coordinator to join our dynamic team. In this pivotal role, you will be instrumental in the planning, execution, and successful delivery of a diverse range of events, from intimate corporate meetings and grand weddings to lively social gatherings and impactful conferences. You will be the primary point of contact for clients, guiding them through every step of the event planning process, understanding their vision, and translating it into a flawless reality.

This position requires a proactive problem-solver with exceptional communication skills, capable of managing multiple projects simultaneously while maintaining an unwavering commitment to quality and client satisfaction. You will collaborate closely with various hotel departments, including catering, sales, operations, and AV, to ensure seamless coordination and execution. Key Responsibilities

  • Serve as the primary point of contact for clients from initial inquiry to post-event follow-up, ensuring a high level of satisfaction.
  • Plan and coordinate all aspects of various events, including weddings, corporate conferences, seminars, banquets, and social gatherings.
  • Develop detailed event proposals, contracts, and banquet event orders (BEOs) based on client requirements and hotel standards.
  • Conduct site inspections and client meetings to understand needs, showcase facilities, and finalize event details.
  • Manage event budgets, negotiate with vendors, and secure necessary resources within approved financial parameters.
  • Collaborate effectively with internal departments (Sales, F&B, Kitchen, Housekeeping, Engineering, Front Office) to ensure seamless event execution.
  • Oversee event setup, breakdown, and on-site management, proactively addressing any issues that may arise.
  • Maintain accurate and up-to-date event records, client files, and vendor contacts.
  • Identify opportunities for upselling and enhancing client experiences through additional services and creative solutions.
  • Conduct post-event evaluations, gather feedback, and generate reports to assess success and identify areas for improvement.
  • Stay abreast of industry trends, competitor offerings, and best practices in event management.

Required Skills

  • Proven experience in event planning and coordination, preferably within the hospitality industry.
  • Exceptional organizational and time management skills with the ability to multitask effectively.
  • Strong communication (written and verbal) and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent negotiation and client relations abilities.
  • Acute attention to detail and a commitment to delivering high-quality results.
  • Ability to work independently and as part of a collaborative team.
  • Problem-solving aptitude and ability to remain calm under pressure.
  • Flexibility to work evenings, weekends, and holidays as required by event schedules.

Preferred Qualifications

  • Bachelor’s degree in Hospitality Management, Event Management, Marketing, or a related field.
  • Certification in Event Planning (e.g., CMP – Certified Meeting Professional).
  • Familiarity with event management software and CRM systems.
  • Previous experience working in a hotel or banquet facility environment.
