Key Responsibilities
- Manage patient scheduling for therapy sessions, consultations, and follow-up appointments, ensuring efficient use of clinician time and minimizing waiting periods.
- Maintain accurate, up-to-date, and confidential patient records, adhering strictly to data protection regulations (e.g., GDPR) and Medicover's internal privacy policies.
- Serve as the primary point of contact for patient inquiries, providing compassionate, professional, and timely assistance via phone, email, and in-person interactions.
- Coordinate various administrative tasks, including preparing necessary documentation, managing clinic supplies, and ensuring the reception and waiting areas are tidy, comfortable, and welcoming.
- Assist mental health professionals with administrative support, such as preparing materials for sessions, managing external communication with other healthcare providers, or facilitating referrals as needed.
- Process patient payments, manage billing inquiries, and maintain financial records with utmost accuracy and discretion, ensuring transparency and compliance.
- Collaborate effectively with the broader administrative team and clinical staff to ensure seamless clinic operations, efficient patient flow, and a positive overall experience for everyone.
Required Skills
- Excellent communication and interpersonal skills, with a compassionate, patient, and empathetic approach.
- Strong organizational abilities, meticulous attention to detail, and a proactive mindset.
- Proficiency in basic computer applications (MS Office Suite, email, calendar management) and willingness to learn new software.

- Fluent in Polish (C1/C2 level) and good working knowledge of English (B2 level) to communicate with diverse patient groups.

- Ability to work effectively both independently and as an integral part of a multidisciplinary team.
Preferred Qualifications
- Previous administrative, customer service, or reception experience, even in a non-healthcare setting, demonstrating organizational capability.
