Key Responsibilities

  • Greet and welcome patients in a professional and friendly manner, both in person and over the phone.
  • Manage the appointment book efficiently, scheduling, rescheduling, and confirming appointments.
  • Process patient registrations, update personal details, and ensure all necessary paperwork is completed accurately.
  • Handle incoming and outgoing correspondence, including emails and postal mail.
  • Process payments, manage billing inquiries, and maintain accurate financial records.
  • Maintain the reception area, ensuring it is tidy, welcoming, and presentable at all times.
  • Liaise with dentists, hygienists, and dental nurses to ensure smooth clinic flow.
  • Manage patient queries and complaints with sensitivity and discretion, escalating issues when necessary.
  • Maintain strict patient confidentiality and adhere to all data protection regulations (GDPR).
  • Assist with general administrative tasks to support the wider dental team.

Required Skills

  • Proven experience in a customer service or reception role, ideally within a healthcare setting.
  • Excellent verbal and written communication skills.
  • Proficiency in using computer systems, including Microsoft Office Suite.
  • Strong organisational skills and the ability to multitask effectively under pressure.
  • A compassionate and empathetic approach to patient interaction.
  • High level of professionalism and a positive, can-do attitude.
  • Ability to work independently and as part of a cohesive team.

Preferred Qualifications

  • Previous experience as a Dental Receptionist.
  • Knowledge of dental practice management software (e.g., SOE Exact, Dentally).
  • Understanding of dental terminology and procedures.
  • First Aid certification.
