Job Description
We are seeking a meticulous and dedicated Data Entry Clerk to join our administrative team in Kananga, Kasaï-Central Province. This crucial on-site role is fundamental to the smooth operation of our humanitarian projects, ensuring that vital information is accurately recorded, organized, and maintained. The Data Entry Clerk will be responsible for inputting a high volume of data from various sources into our internal databases and systems. This includes, but is not limited to, patient records, logistical inventories, administrative documents, financial transactions, and programmatic activity data. The successful candidate will play a key role in maintaining data integrity and confidentiality, which is paramount in an organization dealing with sensitive medical and operational information. This position requires exceptional attention to detail, a strong sense of responsibility, and the ability to work efficiently under pressure to meet deadlines. You will contribute directly to MSF’s mission by ensuring that our teams have reliable data to make informed decisions, monitor program effectiveness, and report accurately to stakeholders. Key Responsibilities
- Accurately input data from various sources into MSF's internal databases and spreadsheets.
- Verify data for accuracy, completeness, and consistency, correcting errors as needed.
- Maintain strict confidentiality and security of all data handled, especially sensitive patient and operational information.
- Organize and file physical documents and records systematically to ensure easy retrieval.
- Generate reports and summaries of entered data as required by supervisors or other departments.
- Assist in data quality control initiatives and identify potential data discrepancies.
- Collaborate with other team members to ensure smooth data flow and administrative processes.
- Perform regular backups of data to prevent loss and ensure data recovery capability.
- Adhere to all MSF data management policies and procedures.
- Provide administrative support as needed to the local team.
Required Skills
- Proven experience in data entry or a similar administrative role.
- Excellent typing speed and accuracy.
- Proficiency in Microsoft Office Suite, especially Excel and Word.
- Strong attention to detail and a high level of accuracy.
- Ability to maintain strict confidentiality.
- Basic understanding of data privacy principles.
- Good organizational and time management skills.
- Ability to work independently and as part of a team.
- Fluency in French (written and spoken).
- Basic knowledge of computer hardware and software applications.
Preferred Qualifications
- Previous experience working with NGOs or international organizations.
- Familiarity with database management systems.
- Knowledge of local languages (e.g., Tshiluba) is an asset.
