Key Responsibilities

  • Provide comprehensive administrative and clerical support to various departments and senior staff within the Corporation, ensuring seamless daily operations.
  • Manage and organize physical and electronic files, records, and documents, ensuring accuracy, confidentiality, and easy retrieval in compliance with established protocols.
  • Respond to public inquiries via phone, email, and in-person, providing accurate information and directing citizens to appropriate resources and services.
  • Prepare, proofread, and format official correspondence, reports, presentations, and other government documents with precision and adherence to professional standards.
  • Schedule and coordinate meetings, appointments, and events for departmental heads and the Corporation, including preparing agendas, distributing materials, and accurately taking minutes.
  • Assist with procurement processes, managing office supplies inventory, and processing invoices and expense claims in accordance with financial guidelines.
  • Support the implementation of local government policies, procedures, and community development initiatives, contributing to their effective execution.
  • Handle incoming and outgoing mail, managing distribution to relevant departments and ensuring timely delivery and dispatch.
  • Maintain up-to-date databases and information systems relevant to administrative operations, ensuring data integrity and accessibility.
  • Collaborate effectively with colleagues across departments to ensure seamless workflow and contribute to a positive and productive work environment within the Corporation.

Required Skills

  • Minimum of 3 years of progressive experience in an administrative, clerical, or office support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software applications.
  • Exceptional organizational and time management skills with a proven ability to prioritize tasks, manage multiple assignments, and meet deadlines effectively.
  • Strong written and verbal communication skills in English, with the ability to articulate information clearly and professionally.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with utmost discretion and integrity.
  • Keen attention to detail and a high degree of accuracy in all administrative and record-keeping tasks.
  • Ability to work both independently with minimal supervision and collaboratively as part of a dynamic team in a fast-paced environment.
  • Strong customer service orientation with a professional, respectful, and courteous demeanor when interacting with the public and colleagues.

Preferred Qualifications

  • Associate's or Bachelor's degree in Public Administration, Business Administration, Office Management, or a related field.
  • Previous experience working within a government agency, municipal corporation, or other public sector organization in Jamaica.
  • Knowledge of local government operations, public sector administrative procedures, and relevant Jamaican regulations.
  • Familiarity with electronic document management systems and public records management best practices.
