Key Responsibilities

  • Provide comprehensive administrative support to assigned team members and departments, including calendar management, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy, proper formatting, and adherence to company standards.
  • Manage office supplies inventory, place orders, and maintain a tidy and organized workspace, ensuring resources are readily available.
  • Handle incoming and outgoing communications, including screening phone calls, directing inquiries, and managing email correspondence with professionalism and discretion.
  • Coordinate and organize internal and external meetings, conferences, and events, including logistical planning, agenda preparation, and minute-taking when required.
  • Process expense reports, invoices, and other financial documentation, ensuring compliance with company policies and timely submission.
  • Act as a central point of contact for administrative queries, fostering a positive and efficient communication flow within the office.
  • Undertake special projects and assignments as requested, demonstrating flexibility and a willingness to take on new challenges.

Required Skills

  • Minimum of 2 years of progressive administrative support experience in a professional office environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and strong computer literacy.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively and manage multiple deadlines.
  • Strong verbal and written communication skills, with a keen eye for detail and accuracy.
  • Proven ability to maintain confidentiality and exercise discretion in handling sensitive information.
