Key Responsibilities

  • Manage and meticulously maintain complex artist schedules, including studio time, high-level meetings, public appearances, and demanding media engagements.
  • Coordinate all aspects of domestic and international travel arrangements, including flights, accommodation, and ground transportation for artists and management.
  • Prepare comprehensive itineraries and detailed schedules, ensuring all involved parties are fully informed of logistical plans and potential changes.
  • Organize and maintain digital and physical files, contracts, confidential artist information, and proprietary documentation with utmost discretion.
  • Assist in the preparation of professional presentations, detailed reports, and other critical documents for artist projects and strategic business development initiatives.
  • Handle all incoming communications, including emails and phone calls, responding professionally and efficiently, or redirecting as necessary.
  • Liaise effectively with record labels, publicists, booking agents, promoters, venues, and other external partners to ensure smooth collaboration.
  • Support the marketing and promotional efforts for artists, which includes gathering creative assets, managing content, and coordinating approval processes.
  • Process invoices, expense reports, and accurately track budgets for various artist-related activities and project expenditures.
  • Conduct thorough research on industry trends, potential opportunities, emerging talent, and competitive landscapes, particularly within the Canadian market.
  • Provide essential on-site support at events, performances, recording sessions, and high-stakes meetings as required, sometimes outside regular business hours.
  • Perform general administrative duties to ensure the efficient and harmonious operation of the management office.

Required Skills

  • Minimum 1 year of proven experience in an administrative support role, preferably within a fast-paced and demanding professional environment.
  • Exceptional organizational and time management skills, coupled with a meticulous attention to detail.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace applications.
  • Superior verbal and written communication skills, capable of conveying information clearly and concisely.
  • Demonstrated ability to maintain strict confidentiality and exercise impeccable discretion with sensitive information.

  • Familiarity with project management software (e.g., Asana, Trello) and CRM systems.
  • A deep understanding and appreciation of the local Halifax/Atlantic Canada music and cultural scene.
