SAP Center at San Jose is seeking an exceptional Artist Liaison – Event Coordination to join our dynamic events team. In this pivotal role, you will be the primary point of contact for performing artists, their management, and production teams, ensuring their needs are met with precision and professionalism from pre-event planning through post-event wrap-up. Key Responsibilities
- Serve as the primary liaison between performing artists, their management, touring personnel, and SAP Center operational teams.
- Interpret and fulfill artist riders (hospitality, technical, security, production) in close collaboration with relevant internal departments and external vendors.
- Coordinate all artist-related logistics, including travel, local transportation, accommodations, and catering.
- Manage artist dressing rooms and backstage areas, ensuring they are prepared according to specifications and maintained throughout the event.
- Facilitate efficient communication flow, relaying critical information to artists and internal teams promptly and accurately.
- Anticipate and resolve potential issues or last-minute requests from artists or their teams with creativity and professionalism.
- Oversee artist check-in/check-out processes and ensure smooth transitions throughout their engagement.
- Collaborate with production managers, security, and facilities staff to ensure artist safety, comfort, and compliance with venue policies.
- Maintain detailed records of artist requirements, communications, and event expenditures related to artist services.
- Conduct post-event evaluations to identify areas for improvement in artist relations and logistical execution.
Required Skills
- Minimum of 3 years of experience in event coordination, artist relations, or talent management within a live entertainment venue or production company.
- Exceptional communication (written and verbal) and interpersonal skills, with the ability to interact effectively with diverse personalities.
- Proven ability to manage multiple priorities, work under pressure, and meet tight deadlines in a fast-paced environment.
- Strong negotiation and problem-solving abilities, with a solution-oriented mindset.
- Advanced organizational skills and meticulous attention to detail.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and event management software.
- Demonstrated understanding of event logistics, production terminology, and artist rider fulfillment.
- Ability to work flexible hours, including evenings, weekends, and holidays, as dictated by event schedules.
- A calm and professional demeanor, even in high-stress situations.
Preferred Qualifications
- Bachelor's degree in Hospitality Management, Event Management, Communications, Arts Administration, or a related field.
- Experience working directly with high-profile artists and their management teams.
- Familiarity with the San Jose Bay Area's vendor landscape for catering, transportation, and specialized services.
- Knowledge of ADA compliance and accessibility best practices in event planning.
- Bilingual proficiency (e.g., Spanish, Mandarin) is a plus.
